Constitution of the Japanese Cultural Association
Article I - Name
The name of this student-organized club is the Japanese Cultural Association. The name can be abbreviated as JCA.
Article II - Purpose
The purpose of this club, the Japanese Cultural Association (JCA), is to inform and educate students, faculty, and any individuals who are interested in the richness and diversity of the Japanese culture. In order to satisfy this goal, the members of JCA will work together to achiee a greater understanding through discussion, exposure, and any other related activities as requested.
Article III - Membership
- All members must be currently registered, matriculated students of SUNY at Stony Brook and must subscribe to or be interested in the purpose of this club.
- No person will be denied membership or office because of sexual preference, national origin, race, sex, physical disability, age, or political/religious beliefs.
Article IV - Officers
Section 1
- All nominees for organizational board positions must have a minimum GPA of 2.0 and, if elected, must maintain a GPA of at least 2.0, and must be registered for the semester(s) during which they are to serve.
- All officers shall serve for one year and may be reelected for additional terms.
- All officers must be undergraduates who have paid a Student Activity Fee.
Section 2
The members of the Executive Board are the President, Vice President, Treasurer, Secretary, and any other assistant board members that may be needed. The total membership of the Executive Board will not exceed six members of the club.
Section 3
- The President shall be the official representative of the club. The President shall have the power to convene, preside over, and prepare the agenda for the meetings of the Executive Board and the general membership. The President shall further perform such duties, as may be necessary and proper in the fulfillment of his/her office, subject to the approval of the Executive Board.
- The Vice President will be elected to see the committe chairpersons are fulfilling their duties. The Vice President shall further perform such duties, as may be necessary and proper in the fulfillment of his/her office, subject to the approval of the Executive Board. The Vice President will assume leadership in the event that the President is unable to perform his/her duties (due to leave of absence or resignation).
- The Treasurer keeps detail record of all money allotted to the organization. He/she also submits all payment requests.
- The Secretary will take minutes and attendance of all meetings and maintain an up-to-date active voting membership roster.
Section 4
Nominations for officer positions must be announced at least one week before elections. Elections are won by a majority vote. If no majority is reached, then a run-off election will be held for the two candidates with the most votes.
Section 5
If a vacancy occurs within the Executive Board, the President may appoint a member to fill that vacanncy temporarily with the approval of the remaining Executive Board by a majority vote. The Executive Board must find a permanent replacement for the position by holding elections.
Section 6
- Any officer of the club may be brought up on impeachment charges if the said officer is acting detrimentally to the club or he/she has significantly disregarded the major responsibilities of his/her office.
- If a list of charges is signed by three-fourths of the officers, or two-thirds of the active members, is submitted to the President, he/she must call for impeachment hearings. If the President is being brought up on charges, the petition shall be submitted to the Vice President. Upon receipt of the petition, the President shall suspend the officer and prevent him/her from exercising all powers and voting rights pending the outcome of the impeachment proceedings.
Article V - Meetings
- This club shall hold a minimum of two general meetings per month.
- The President must convene a meeting within a reasonable about of time if such a meeting is initiated by a majority vote of the voting members president at a meeting; or upon a petition signed by one-third the active voting membership.
- All meetings must have an agenda, and two school days prior notice must be given to all organizational members.
- Officers shall hold a minimum of two Executive Board meetings per month.
Article IV - Amendments
- A proposal for an amendment to this constitution may be made by any member of this club.
- All Proposed amendments must be seconded and approved by at least two-thirds of all officers
- All amendments must be ratified by a majority vote by the voting members.
- The implementation of the new amendments will take effect in the following academic school year.
